Privacy policy

Easync processes personal data of customers and visitors to easync.be. Below you can read which data that is, why we need it, how long we keep it and what rights you have. No small print, just how it works.

We work entirely online. We do not take phone calls and do not make site visits. All communication runs by email, the contact form or WhatsApp.

Which data we process

Contact and quotes. Your name, email address, possibly your phone or WhatsApp number, your company name and the content of your message.

Orders and delivery. Billing details, delivery address, order overview, payment status and company number if you order as a business. We never see your full card details: those go straight to the payment provider.

Material you send us. For a card or a website you often send us a logo, copy, photos and your Google review link. If people appear in those photos, we assume you have their permission to publish them.

Email and messages. The correspondence we have with you, including agreements about your job.

Website use. Through cookies we collect data about your visit. Details are in our cookie policy.

Why, and on what basis

  • Carrying out your order: delivering, following up, supporting. Basis: performance of the contract.
  • Answering your question before a contract exists. Basis: pre-contractual measures at your request.
  • Invoicing and accounting. Basis: legal obligation.
  • Processing your material into your card or website. Basis: performance of the contract.
  • Keeping the site safe and workable, countering abuse and spam, and improving our own service. Basis: legitimate interest.
  • Analytical and marketing cookies. Basis: your consent, which you can withdraw at any time.

Who gets to see your data

We do not sell your data and do not pass it on for other parties' advertising. We do work with a number of parties who process data on our behalf:

  • Odoo S.A. (Belgium): host of the website and the webshop. Your contact and order details sit here.
  • Our payment provider: processes your payment and the data needed for it.
  • The carrier delivering your parcel: receives your name, address and contact details for the delivery.
  • Google: for Google Analytics 4 and Google Ads conversion measurement.
  • Our accountant and, where required, the tax authorities or another public body legally entitled to it.

Transfer outside the European Union

Google kan gegevens verwerken op servers buiten de EU, onder meer in de Verenigde Staten. Dat gebeurt op basis van het EU-VS Data Privacy Framework en, waar nodig, de standaardcontractbepalingen van de Europese Commissie. Onze eigen hosting en webshop draaien binnen de EU.

How long we keep data

  • Invoices and accounting: 7 years, as Belgian law prescribes.
  • Messages through the contact form or WhatsApp that do not lead to a job: 12 months at most.
  • Customer file and correspondence about a job: up to 3 years after the last delivery, so we can still help you further.
  • Material you supplied (logo, photos, copy): up to 12 months after delivery, or sooner if you ask.
  • Cookie data: see the retention periods in the cookie policy.

Your rights

You can always ask us for:

  • access to the data we hold about you;
  • correction of data that is wrong or incomplete;
  • erasure of your data;
  • restriction of processing;
  • portability: your data in a readable file, for you or for another party;
  • objection to processing based on legitimate interest;
  • withdrawal of your consent, for example for cookies. What we processed before that stays valid.

Mail naar easync.cards@gmail.com of gebruik het contactformulier. We antwoorden binnen 30 dagen. Bij twijfel over wie je bent, kunnen we om een bewijs van identiteit vragen. Sommige gegevens moeten we wettelijk bijhouden, bijvoorbeeld facturen; die kunnen we niet wissen op verzoek.

No automated decisions

We do not make decisions about you in a purely automated way and we do not carry out profiling. Every quote, every delivery and every decision comes from a person.

Changes

If something changes in how we work or in the tools we use, we adjust this policy. The date below shows when that last happened.
